Halalt First Nation is seeking to fulfill the role of Administrative Assistant / Job Coach. The position will provide reception relief, administrative support to the management team and administrative support as required by the organization. This dual role also assists community members providing job coaching, resume writing, job readiness, career planning, supports and assists with workshop initiatives relating to the employment program.

Duties and Responsibilities:
The following list outlines the duties and responsibilities of the Administrative Assistant, but are not limited to:

  • Greet guests, community members and ensures a professional, welcoming, safe and comfortable environment
  • Respond to guest and community members inquiries, questions and concerns
  • Operate switchboard communications, receive and distribute incoming and outgoing messages
  • Create and prioritize correspondence such as letters, brochures, memos, posters emails to appropriate staff member(s)
  • Assist with photocopying, facsimile and scanning documents as required
  • Oversee cigarette cash sales, inventory and reconcile case with inventory sales
  • Schedule facility and room booking rentals
  • Complete administration filing as requested
  • Record and transcribe minutes as requested
  • Attend all staff and other meetings as requested
  • All other related administrative duties as required

Duties and Responsibilities:
The following list outlines the duties and responsibilities of the Employment Assistant Service, but are not limited to:

  • Assist Halalt First Nation Members to become employment ready by updating and creating resumes
  • Provide interview techniques
  • Complete job search utilizing various job posting sites
  • Research and post current employment opportunities within geographic area on Halalt Job Board, Halalt Website
  • Refer members to both internal and external departments and agencies, such as the Halalt First Nation’s Education department, CSETS, House of Friendship
  • Summer job placement program which includes recruiting students for short summer contracts on Halalt First Nation and other external placement opportunities
  • Coaching and career planning will include exploring members interests, skills, abilities, education levels and requirements for job readiness, with a focus on building relationships with clients from the Social Development department
  • Provide information for educational institutions and agencies that provide upgrading and training
  • Research current job market landscapes and provide updates for appropriate job posting to community members

Education, Skills and Abilities:

  • Completion of Grade Twelve
  • Previous experience in an Administrative Assistant role, performing the outlined duties above
  • A good knowledge of the Halalt First Nation’s culture, history, traditions, diversities and language
  • Excellent computer skills in Microsoft Office
  • Good written, verbal and non-verbal communications
  • Maintain professional working conduct and habits
  • Participate in a team working environment, as well as take initiative and work independently when required
  • A certificate program in Career Coaching or related discipline
  • Previous experience in an Employment Assistant Service role, performing the outlined duties above
  • Knowledge and understanding of members challenges, barriers and successes that will assist with successful career planning
  • Maintain soft and understanding approach when engaging with community, guests and partners
  • Ability to problem solve and find sufficient and successful resolutions for all parties
  • Must be able to meet the physical and environmental requirements of the position; such as meet demanding deadlines, deal appropriately with challenging behaviors, coping in a fast-paced somewhat stressful environment
  • Must provide a Criminal Record Check clearance
  • Must maintain strict confidentiality of all Halalt First Nation’s dealings, all community members, both internally and externally
