Pacific Rim Early Childhood Institute Inc. is designated by the Private Training Institutions Branch and has been offering individual courses and certificate programs in early childhood development since 1989. We are looking for an Administrative Support Professional who will join our team to support our Senior Administrator provide support to students enrolled in our Early Childhood Education programs.

Reports to: Senior Administrator


The employee will be available weekdays to answer phones and emails from 9 am- 5 pm, with a 1-hour lunch break each day. (35 hours each week; 7 hours each day).


The employee will work from a home office under the supervision of our Senior Administrator, located in Shawnigan Lake from 9 am- 5 pm, Monday to Friday.

  • Upload and scan documents received by mail and email
  • Contact students by email when their mail has been received
  • Record payments made by bank draft in the deposit book
  • Accurately verify fee and tuition payments using the Pacific Rim administrative system
  • Update student records using the Pacific Rim administrative system
  • Send receipts to sponsors
  • Abide by privacy and confidentiality requirements (PIPA) to ensure student information is protected and not discussed or made accessible to any third parties
  • Accurately and consistently answer incoming calls in a friendly and professional manner
  • Respond to questions and requests for information by phone and email
  • Keep accurate notes in the comments section of students files regarding student conduct, special requests, and related correspondence
  • Approve and send out course materials to students according to prerequisite criteria
  • Forward faxed assignments and exams to instructors when appropriate
  • Additional responsibilities as required
  • Each week check documents received before registration folder to see if any documents can be added to new student files
  • Follow up with students to ask them to complete their exit interviews if it has been more than a week from their program end dates
  • Help the Senior Administrator develop and keep current, an Administrative Handbook
  • Additional responsibilities as required
  • Certificate or equivalent in office administration and a minimum of one to three years administrative support or related experience, or combination of experience and education
  • Related post-secondary training in customer service and administration is strongly preferred
  • Proficiency in Microsoft Office with expertise in Microsoft Word and Excel and ability to type 50 wpm. This is normally acquired through one to three years of clerical experience
  • Ability to obtain a clear Criminal Record Check with clearance to work with the vulnerable sector
  • Critical thinking and problem-solving skills
  • Basic reading, writing, and arithmetic skills. This is normally acquired through a high school diploma or equivalent
  • Professional communication skills that will reflect well on the institution in both phone and email conversations
  • Detail oriented and comfortable transitioning between phones and emails
  • Superior organization skills and ability to complete projects in a timely manner and accurately respond to student and administrative requests
